DATA PROTECTION NOTICE

Introduction

The 2024 Joint International Conference on Computational Linguistics, Language Resources and Evaluation (LREC-COLING 2024) will be held in Turin, Italy on 20-25 May, 2024.

The LREC-COLING organisers are committed to protecting your personal data and to respecting your privacy. The organisers will process your personal data in order to provide you with information and services associated with the conference.

Purpose of Processing

For the purpose of organising the Conference, ELRA will collect a set of information from you. We will use the information provided by event attendees to provide them with event services, including badge printing, and related purposes connected with the event. We also use the information for billing purposes.

If you are a presenter at one of our events, we will collect information about you including your name, contact information, employer contact information, academic productions and video.

As LREC is a hybrid conference, the conferencing tool that will be used is Zoom. An audio-visual recording of speakers, organisers, and participants at LREC-COLING will be made through the use of Zoom, which will be operated by Conference Catalysts as well as on-site via our processor Fourbits. The recordings will be stored by ELDA. The audience or non-speaker participants are not photographed individually. They may however appear on panoramic recordings of the whole conference.

Processed Data

In order to duly organise the conference, ELRA will process the following personal data concerning you:

· Name

· Contact information

· Affiliation and work address

· Job title

· Passport number (only if an invitation letter is requested)

· Payment information

· Recordings of speakers

· Academic productions of speakers

Data Processors

Your data can be transferred, only when relevant, to workshop organisers. In such cases, your data will only be used in order to prepare the logistics for the workshops where you indicated your participation.

ELDA/ELRA uses the services of the company “Conference Catalysts” as a processor for the registration, badge preparation and the operation of the Zoom account and the recordings via Zoom.

ELDA/ELRA uses the services of the company “Fourbits” for the recordings of speakers on site.

ELDA/ELRA stores the recordings on its servers hosted by “OVH France” and backed up by “Backblaze”.

Storage Limitation

Your GDPR rights are guaranteed with regard to the processing of your personal data. These rights are summarized below:

a) right of information (art. 13 and 14 of the GDPR): you have the right to be provided with certain information about the processing of your personal data.

b) right of access (art. 15 of the GDPR): you have the right to obtain from us confirmation as to whether we process your personal data, as well as information on the categories of data we process, how and why we process your data, etc.

c) right to rectification (art. 16 of the GDPR): if your personal data that we process are incomplete or inaccurate, you have the right to obtain from us the rectification of such data without undue delay

d) right of erasure (right to be forgotten – art. 17 of the GDPR): in certain circumstances (e.g. if we process your data unlawfully or unnecessarily) you may obtain from us the erasure of your personal data;

e) right to data portability (art. 20 of the GDPR): you may request us to transmit your data that we process to another controller in a structured, commonly used and machine-readable format;

f) right to lodge a complaint with a supervisory authority.
